Smarter HR processes at a medium-sized company

The challenge

An organisation with 250 employees saw its HR department losing more and more time to recurring colleague questions and administrative tasks. Employees came by daily with questions about leave, contracts, employment conditions and policy. On top of that, registering sick-leave notifications took a lot of time because data had to be manually re-entered into multiple systems.

Our approach

Together with HR we started with an analysis of the daily work: which questions come up most often, where is most time lost, and what can be made smarter without creating distance from employees? We implemented two targeted AI solutions:

  • An internal HR chatbot, fully tuned to HR policy and internal documents. Employees get 24/7 answers to frequently asked questions, without HR having to get involved.
  • An AI link for sick-leave notifications with the existing HR systems. Sick-leave notifications are automatically registered and forwarded, so manual re-typing has disappeared completely.

The result

  • • 50% fewer HR questions via email and phone
  • • Sick-leave notifications fully processed automatically
  • • More calm and overview within the HR team
  • • Employee satisfaction rose by 18% according to internal measurements
  • • HR staff said they “finally have time again for the human side of the job instead of only admin”

Why this works

We didn't set up AI as a standalone tool but integrated it seamlessly into the existing systems and ways of working.

Employees didn't need to learn anything new: the chatbot felt logical and accessible right away, and the sick-leave process ran by itself. AI became a quiet force in the background that supports HR rather than replacing it.

Quote from the HR manager:

“The pressure has decreased enormously. We're focused on people again, not forms. This is exactly how AI should support HR.”

Contract management automated for an HR department in healthcare

The challenge

A medium-sized healthcare organisation had hundreds of employees on different types of contracts: permanent, temporary, on-call, freelance and interns. The HR department spent a lot of time every week drafting, extending, checking and archiving contracts. Errors in data and unclear agreements regularly led to legal risks or employee frustration. There was an urgent need for more structure and less manual work.

Our approach

Together with the HR team we looked at the entire contract process. We then implemented two AI solutions that connect to the existing HR software:

  • AI-driven contract generator: based on employment type, collective agreement, role and start date, AI drafts a correct contract within seconds, including additional clauses.
  • Automatic monitoring: AI signals in good time which contracts are expiring and sends automatic reminders to HR and the manager, with suggestions for extension or follow-up.

The result

  • • 80% less time spent on drafting and managing contracts
  • • No more missed deadlines for extensions
  • • More overview and less stress during peak periods
  • • Employee satisfaction with HR handling rose by 20%
  • • HR staff said they feel “much more confident about the legal side and have room for consultation again”

Why this works

The contract process wasn't replaced, it was optimised. AI did the groundwork, HR kept control. This created a hybrid way of working where speed and accuracy come together.

Quote from the HR manager

“We now have a watertight system without being squeezed ourselves. AiBitches.nl really brought calm and structure to something that always used to be a hassle.”

Time savings and overview with Copilot for the HR team of a commercial organisation

The challenge

A commercial services company had an overloaded HR team. Rapid growth, hybrid working and complex legislation meant HR had to switch daily between employment contracts, policy texts, job postings and emails to managers. A lot of time was lost to repeated writing, searching for standard texts and answering recurring questions. Workload increased and accuracy came under pressure.

Our approach

We started by analysing HR's work: which tasks are repetitive, where does delay occur, and where can AI help without replacing human contact? Based on that we developed a targeted Copilot training, including:

  • Practical use of Copilot in Microsoft Word and Outlook: automatically generating and personalising employment contracts, policy updates and emails.
  • Pre-built prompts for HR purposes: from job profiles to letters for changes to employment conditions.

The result

  • • 30% less time spent on writing and administrative HR tasks
  • • Standard documents drafted faster and more consistently
  • • Email responses to HR questions handled more quickly
  • • HR staff report less workload and more overview
  • • Managers receive clear documents and advice faster

Why this works

Because Copilot integrates directly into existing Microsoft tools, it didn't feel like learning “something new”. The training let HR staff immediately work smarter with the documents they already knew, without extra steps or separate tools.

Quote from the HR Business Partner:

“Copilot is like an extra colleague who never gets tired. We save time, keep overview and can focus on people again instead of paperwork.”
