Smarter HR processes at a medium-sized company
The challenge
An organisation with 250 employees saw its HR department losing more and more time to recurring colleague questions and administrative tasks. Employees came by daily with questions about leave, contracts, employment conditions and policy. On top of that, registering sick-leave notifications took a lot of time because data had to be manually re-entered into multiple systems.
Our approach
Together with HR we started with an analysis of the daily work: which questions come up most often, where is most time lost, and what can be made smarter without creating distance from employees? We implemented two targeted AI solutions:
- An internal HR chatbot, fully tuned to HR policy and internal documents. Employees get 24/7 answers to frequently asked questions, without HR having to get involved.
- An AI link for sick-leave notifications with the existing HR systems. Sick-leave notifications are automatically registered and forwarded, so manual re-typing has disappeared completely.

Why this works
We didn't set up AI as a standalone tool but integrated it seamlessly into the existing systems and ways of working.
Employees didn't need to learn anything new: the chatbot felt logical and accessible right away, and the sick-leave process ran by itself. AI became a quiet force in the background that supports HR rather than replacing it.
