1. Who is responsible

2. What data we process

• Quote request: name, company name, email address, phone number, chosen topic, group size, preferred timing and your own comments.
• Booking a call: name, email address and the chosen time slot. This runs through our scheduling tool Calendly.
• Email, phone and WhatsApp: the data you share yourself in your message.
• Training participation: name, business email address and organisation, supplied by the client, plus any practical preferences.
• Technical data: data your browser automatically sends, such as IP address and browser type, needed to display and secure the website.

3. Why and on what legal basis

• To assess your request and send a proposal, and to contact you. Legal basis: performance of or preparation for a contract.
• To organise and deliver trainings and implementation projects. Legal basis: performance of the contract.
• To keep our website and systems running and secure. Legal basis: legitimate interest.
• To comply with legal obligations, such as the tax retention duty for invoices. Legal basis: legal obligation.

4. How long we keep data

We keep requests that do not lead to an assignment for a maximum of two years, so we can put a follow-up question into context. Data relating to an assignment is kept for as long as the collaboration lasts and afterwards according to statutory retention periods. Administration subject to a tax retention duty is kept for seven years. After that we delete the data.

5. Who we share data with

We do not sell data. We only share data with parties that help us run this website and our services, such as our hosting and database provider, our email provider and our scheduling tool. Agreements on confidentiality and security are in place with those parties. We also share data where the law requires us to.

6. Cookies

This website only places cookies and similar techniques that are necessary to make the site work and keep it secure. No consent is required for those necessary cookies. We do not set advertising cookies.

On pages where we show an external scheduling tool (Calendly) or a YouTube video, that party may place its own cookies or similar techniques once you use that content. If you want to avoid this, email or call us directly instead of using the scheduler. You can always remove or block cookies via your browser settings.

7. Your rights

You can ask us to give you access to your data, correct or delete it, restrict its processing, transfer your data, or object to processing based on our legitimate interest. Send your request to susanne@aibitches.nl. We respond within a month. If you are not satisfied with how we handle your data, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

8. Security

We take appropriate technical and organisational measures to protect data. Requests via the quote form are sent encrypted and are only accessible to staff who need them for their work.

9. Changes

We may amend this statement, for example if our services or legislation change. The current version is always available on this page.
