AI speeds up financial control at a fast-growing organisation

The challenge

A fast-growing organisation with offices in three countries faced increasingly complex financial management. The finance team spent hours every week checking incoming invoices, reconciling data from various Excel overviews and preparing reports for stakeholders. Due to growth, the number of transactions rose by 40% without any increase in team capacity.

Our approach

Together with the CFO we mapped the time-consuming processes: from invoice checks to merging spreadsheets for the monthly report. We then implemented two AI applications that connected perfectly to the existing systems:

  • An AI module for invoice processing that automatically checks invoices for discrepancies, duplicate payments and incorrect VAT rules, including a link to the accounting system.
  • A smart reporting assistant that consolidates Excel overviews, recognises trends and automatically generates clear monthly reports, including visualisations and variance analyses.

The result

  • • 30% time savings on control and reporting processes
  • • 70% fewer manual invoice checks needed
  • • Monthly reports available within 1 day instead of 4
  • • Faster insight into variances and cost patterns
  • • CFO: “We now get questions about the content, not about missing figures”

Why this works

By smartly integrating AI into the existing finance structure, manual checks could partly be replaced without any loss of quality. Reports are more reliable and available faster, so the finance team can focus on interpretation and advice instead of merging cells.

Quote from the CFO:

“We went from Excel police to a financial sparring partner. This is exactly what you want as finance in a fast-growing organisation.”

Smarter financial processes at a medium-sized company

The challenge

At an organisation with €80 million in revenue and a 12-person finance team, workload kept structurally increasing. Month-end close took longer each time due to manual checks, recurring Excel reports and gathering information from multiple sources. Answering internal questions about budgets, invoices and forecasts also took a lot of time.

Our approach

Together with the CFO we did a thorough analysis of all recurring processes and information flows within finance. Where is most repetition, which actions are error-prone, and what can be sped up while keeping control? We implemented two AI solutions:

  • An automated monthly report that pulls data from various systems, checks it and turns it into directly usable dashboards and reports for management and the board.
  • An internal finance assistant (AI chatbot) that gives colleagues instant answers to frequently asked questions about budgets, payment status and purchasing procedures.

The result

  • • 30% time savings on month-end close and reporting
  • • Real-time insight into financial KPIs for management
  • • 40% fewer questions to the finance administration
  • • Fewer errors in manual overviews and budget checks
  • • The finance team said they “finally have room for real analysis and strategic advice”

Why this works

The AI solutions connected directly to the existing tools (such as ERP and BI software), without employees having to change how they work. Automating repetitive tasks freed up time for control, advice and looking ahead. Finance changed from an executive role into a strategic one.

Quote from the CFO:

“What used to take days is now a matter of clicks. We can finally work proactively instead of chasing the facts.”

30% time savings for the finance team thanks to Copilot training

The challenge

A finance team of 25 people worked daily with reports, analyses, emails and documentation in Microsoft 365. A lot of time was lost structuring quarterly reports, checking figures, writing memos and answering recurring colleague questions. There was an urgent need for more time for depth and strategic work.

Our approach

Together with the team and the CFO we mapped where most time was lost. Based on concrete tasks and documents we developed a targeted Copilot training, focused on:

  • Efficient use of Microsoft Copilot in Excel, Word, Outlook and Teams
  • Prompts for summarising reports, generating memos and explaining financial terms
  • Hands-on exercises with real financial documents and dashboards

The result

  • • 30% time savings on recurring work
  • • Reports drafted faster and better structured
  • • Internal communication clearer and more efficient
  • • More time for analysis and advice instead of manual work
  • • “We work smarter, not harder,” says the team

Why this works

The training matched the reality of finance: working accurately under time pressure. By practising with their own files and situations, employees discovered how Copilot could save time straight away without losing control. Clear prompts and instructions made it easy to use Copilot structurally.

Quote from a financial controller:

“Copilot helps me get to the core faster. What used to take an afternoon now takes an hour, with better quality.”
